1. Acceptance of Terms

By accessing or using Teleta Vox ("the Service"), you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use the Service.

2. Description of Service

Teleta Vox provides AI-powered CRM management, automated lead nurturing, and communication drafting for real estate professionals. The Service integrates with third-party platforms (such as CRMs and email providers) to facilitate these features.

3. Artificial Intelligence Disclaimer

AI is not perfect. Teleta Vox utilizes advanced artificial intelligence to generate text, draft emails, and manage data. However, AI can make errors, misinterpret context, or generate inaccurate information ("hallucinations").

You are solely responsible for reviewing, verifying, and approving all communications, data entries, and actions taken by Teleta Vox on your behalf before they are executed or sent to clients. Teleta Vox is not liable for any lost deals, miscommunications, or damages resulting from AI-generated errors.

AI Providers. Teleta Vox uses the following third-party AI services:

  • OpenAI (gpt-4o-mini) — powers the Vox assistant, conversation summarization, and chat title generation. OpenAI's API terms prohibit using API inputs or outputs to train their models. OpenAI is the only AI provider that processes data obtained from Google APIs (Google Drive, Google Calendar, Gmail).
  • DeepSeek — used exclusively for internal document parsing and CRM import processing. DeepSeek never receives data obtained from any Google API. It only processes data you directly upload or enter into the Service (e.g., CSV import files, manual form entries).
  • ElevenLabs — powers AI voice synthesis for the voice assistant feature.

We are not responsible for the data handling practices of these third-party AI providers beyond the contractual obligations they have agreed to. By using the Service, you acknowledge and accept that your data may be transmitted to these providers as described above.

4. Real Estate Compliance & Legal Use

As a real estate professional, you are subject to various local, state, and federal laws. By using Teleta Vox, you agree that you are solely responsible for ensuring that all communications and actions performed via the Service comply with:

  • The Fair Housing Act and equivalent local anti-discrimination laws.
  • The Telephone Consumer Protection Act (TCPA) and CAN-SPAM Act.
  • Your local Real Estate Commission regulations and broker guidelines.

Teleta Vox is a software tool, not a licensed real estate broker or legal advisor.

5. Data Privacy & Integrations

To provide the Service, Teleta Vox requires access to your Google account data including Google Drive, Google Calendar, and Gmail. We only use this data to execute the core functions of the Service as directed by you. We do not sell your data or your clients' data to third parties.

Data obtained from Google APIs is transmitted only to OpenAI for AI processing. It is never sent to DeepSeek or any other AI provider. Teleta Vox's use of data obtained from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

Third-Party API Liability. Teleta Vox integrates with third-party services including Google, OpenAI, DeepSeek, ElevenLabs, Stripe, and MongoDB. We are not responsible for any data loss, breach, misuse, or unauthorized access that occurs within systems operated by these third-party providers. Your use of these integrations is also subject to the respective providers' terms of service and privacy policies.

6. Subscriptions and Payments

The Service is billed on a subscription basis. You will be billed in advance on a recurring, periodic basis (monthly or annually). All payments are non-refundable unless otherwise required by law. You may cancel your subscription at any time, and you will retain access to the Service until the end of your current billing cycle.

7. Limitation of Liability

To the maximum extent permitted by law, Teleta Vox and its founders shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including without limitation, loss of profits, data, use, goodwill, or other intangible losses, resulting from your access to or use of (or inability to use) the Service.

Privacy Policy

1. Information We Collect

We collect the following types of information:

  • Account Information: Your name, email address, and profile picture provided when you sign in via Google OAuth.
  • CRM Data: Client names, email addresses, phone numbers, addresses, and notes that you enter into the Service.
  • Usage Data: How you interact with the Service, including voice session usage, messages sent, and tasks created.
  • Payment Information: Subscription and billing data processed securely through Stripe. We do not store your payment card details.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the Service.
  • Authenticate your identity and manage your account.
  • Process AI requests and execute CRM actions on your behalf.
  • Send scheduled emails to your clients as instructed by you.
  • Enforce usage limits based on your subscription plan.
  • Respond to support requests and communicate service updates.

3. How We Share Your Information

We do not sell your personal data or your clients' data to third parties. We may share data only in the following limited circumstances:

  • AI Providers: Data you enter and data obtained from Google APIs (Drive, Calendar, Gmail) is transmitted to OpenAI solely to power the Vox assistant and related features. OpenAI does not use API data to train its models. DeepSeek is used only for internal document parsing on data you directly upload — it never receives Google API data. ElevenLabs receives voice session audio to power AI voice synthesis.
  • Other Service Providers: We use MongoDB for data storage and Stripe for payment processing.
  • Legal Requirements: We may disclose information if required by law, court order, or to protect the rights and safety of Teleta Vox or its users.

4. Data Retention

We retain your account and CRM data for as long as your account is active. If you cancel your subscription, your data will be retained for 30 days before permanent deletion, giving you time to export anything you need. You may request immediate deletion by contacting us at contact(at)teletavox.com.

5. Cookies & Tracking

Teleta Vox uses session cookies solely for authentication purposes (to keep you logged in). We do not use third-party tracking cookies or advertising cookies.

6. Security

We take reasonable technical and organizational measures to protect your data, including encrypted connections (HTTPS), secure database access controls, and OAuth-based authentication. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

7. Your Rights

You have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your account and associated data.
  • Withdraw consent for data processing, where applicable (note: this may prevent you from using the Service).

Teleta Vox is not intended for use by anyone under the age of 18. We do not knowingly collect personal data from children.
